Topic #1: Non-Immigrant Visa Employees and their Taxation
(90 minutes)

Would you be able to recognize if a new hire has a visa? Do you have safeguards in place to identify new hires with visa status? How would you set up a visa employee in your payroll system?

As more companies expand worldwide (even in recruiting!) it is critical for payroll professionals to understand immigration visas and how they affect your payroll. Unfortunately for us, in payroll we are not typically involved in the hiring process so by the time the I-9 hits your desk the employee has already begun working. This doesn’t leave you with much time to prepare! Failure to comply with regulations can result in hiring restrictions for your company, PLUS fines and penalties. It is essential your Payroll and HR/Recruiting teams understand the requirements and work out a shared process to identify visa employees when onboarding.

In this session we will provide detailed information on Visa types and what impact they have on employment status for the employee. This will include exploring resident alien and nonresident alien classifications from a work authorization perspective and the subsequent income and FICA taxation requirements. Don't put your company at risk, attending this session will prepare you for the inevitable day an employee tells you they shouldn’t have FICA taxes withheld from their pay...and they’re right!

Speaker: Glenna Bennett, CPP

Glenna Bennett is an accountant at heart, but has focused exclusively on payroll since 1995 with all but about 2 years in higher education where processing payroll for nonresident aliens is a daily way of life.  Currently she is the Director of Payroll for The George Washington University where they process almost 16,000 W2 forms, about 850 1042S forms, and setup about 425 new NRA employees every academic year. She’s been a member of the APA since 1997, a CPP since 2012, and a member of the WMAC since 2013.  She’s a current member of the APA's Strategic Payroll Leadership Task Force for Higher Education, an Educational Payroll Conference Speaker, an APA Hotline volunteer, and former member of the WMAC board.

 

Topic #2: Form I-9 Do’s and Don’ts from an Expert 
(30 minutes)

In this session you will have an opportunity to learn about the Form I-9 legal requirements, step-by-step instructions on how to complete each section, what employment authorization documents are acceptable, as well as legal retention rules.

Speaker: Gloria Aitken

Gloria Aitken graduated a Journalism major from The George Washington University, in Washington, DC.  She joined the U.S. Citizenship and Immigration Services (USCIS), as a Management and Program Analyst in 2004.  Prior to joining USCIS, Ms. Aitken worked in the legal field, as a Litigation Paralegal, and wrote healthcare policy for the Blue Cross, Blue Shield Association.  Ms. Aitken is a published author, and ran for a political office in Prince Georges County, Maryland.

Ms. Aitken has been routinely called upon to deliver presentations for congressional events, and she has provided testimony on E-Verify before the Utah State Legislature. Also, several county government entities have called upon Ms. Aitken to assist them in developing Form I-9 (employment eligibility verification) best practices.

Ms. Aitken has been a public speaker for over ten years, and is a former owner of an income tax preparation business.
